Sensitive Country Clearance Requirements
To ensure that State Department/embassy country clearances can be obtained before departure, trip requests MUST be submitted according to DOE submission guidelines. Trips submitted past the DOE guidelines of submission may be denied DOE approval to travel. DOE requires that a trip request to a sensitive country be put in the Foreign Travel Management system (FTMS) at least 45 days before departure to allow time for the appropriate reviews and the country clearance process.
Following information is required for each itinerary to a sensitive country: ( Section III line 28 in FTMS)
- A paragraph in complete sentences (no acronyms or abbreviations) describing the purpose of the trip
- Title(s) of lectures, seminars, talk, presentations or posters.
- Name(s) of main organizations to be visited (no acronyms or abbreviations)
- Goals/objectives of the visit, and the facility where meeting or conference will be held.
All sensitive trips require day and evening contact phone numbers, passport number & expiration date, in addition to the above information.
